Log a visit in a minute; your customer sees the history and next due. ## One link per boiler, stove, bike or lock: every visit and the next one due Add each visit on your phone before you leave. Your customer opens the link, or scans the sticker on the boiler, and sees what was done and when the next service is due. No app and no account for them. Hearth and Flue Services Kitchen boiler Boiler, Vaillant ecoTEC plus Next service due October 2027 1. 15 Oct 2026Annual service. Flue gas reading in range, seals checked. 2. 2 Feb 2026Replaced the condensate pump.Parts: condensate pump ### Who it is for - **Heating engineer** Boilers and water heaters on a yearly service. - **Chimney sweep** Chimneys, flues and stoves swept every season. - **Appliance repairer** Ovens, washers and the appliances you keep running. - **Mobile mechanic** Vans and cars serviced at the customer's door. - **Bike mechanic** Bikes back for a tune of the gears and brakes. - **Locksmith** Locks and doors rekeyed and serviced. ### Three steps 1. **Make a card for the object.** Kitchen boiler, Lounge stove, Work van. Add a customer label and notes for yourself; the customer never sees them. 2. **Give the customer the link or a sticker.** Send the link by text, or stick the QR code on the boiler, the stove, the bike frame or inside the door. 3. **Add each visit.** Work done, parts and the next due, in under a minute. The card shows the new date at once, and the customer can add it to their calendar or ask for a visit. ### The sticker stays on the object 8 stickers to a sheet, 85 by 55 mm, on A4 or Letter. When the house or car is sold, the sticker is still there for the new owner, or you make a new link and the old sticker says the card has moved. Kitchen boiler Hearth and Flue Services 01632 960 123 A service record kept by your engineer. It is not a gas safety certificate, landlord safety record, chimney sweeping certificate, roadworthiness test or any legal, warranty or insurance document. ### What it is, and what it is not A card is a service record kept by you, the engineer. It is not a gas safety certificate or any other legal document, and it does not choose service intervals for you. The details, including what is stored and for how long, are on [how Mendcard works](https://mendcard.com/how-it-works/) and the [privacy page](https://mendcard.com/privacy/). The [FAQ](https://mendcard.com/faq/) covers a sale of the house or car, private notes and stopping paying. --- # How service cards, visits and the next due work, Mendcard URL: https://mendcard.com/how-it-works/ Last reviewed: 2026-10-28 > How cards, visits, the next due, the customer link and sticker, visit requests, a sale of the object, limits and deletion work, in order. ## How cards, visits and the next due work You keep one card for each boiler, stove, appliance, vehicle, bike or lock. Each visit takes under a minute to add. Your customer opens the card's link or scans its sticker and sees the history and the next service due. The rules below are the ones the server enforces, in the order you meet them. Last updated 28 October 2026 ### The rules, in the order you meet them 1. **Signing in.** You make an account with a passkey: your device keeps the private half behind your fingerprint, face or screen lock and the server keeps only the public half. There is no password and no username. You get a recovery code once, for a lost device, and can add up to 10 passkeys. 2. **Your business.** Before the first card you enter your business name and trade, and the time zone your days are counted in. Phone and website are optional and show on customer cards. 3. **A card.** A card has a title the customer sees (for example Kitchen boiler), a make and model, and fields for you only: a customer label, a note, the serial number, an install month and, for vehicles only, a registration plate of up to 10 characters. 4. **Dates.** Every date is a calendar day in your time zone, and today is your local date. Changing the time zone never moves a saved date. A visit can be dated today or up to 365 days back, never in the future. 5. **A visit's next due.** Each visit chooses one of four: 6, 12 or 24 months after the visit date (31 August plus 6 months is 28 February, the last day of the shorter month), a date you pick, which must be after the visit, no next due, or keep the due as it is. 6. **The card's next due.** It comes from the latest visit by date that did not choose keep; two visits on one day go by the one saved later. With no such visit there is no due. Deleting a visit works it out again. 7. **What the customer sees.** The visits you marked as shown, newest first, and the next due as a month (Next service due March 2027) or a date (Next service due 12 Mar 2027). Once it has passed it reads Service was due in March 2027. Add to my calendar saves one all-day event: on the date, or on the 1st of the month when the card shows a month. 8. **Visit requests.** The customer leaves a phone number of 7 to 15 digits or an email address, and when suits them. One card takes up to 3 requests in 24 hours. Requests are on your dashboard, and emailed to your confirmed address at most once an hour. They are deleted 90 days after they arrive. 9. **A new owner.** By default the card stays with the object. Making a new link stops the old link and sticker, which then say the card has moved and on which date, and can show the new owner only visits from a date you choose. The new card says when its link was replaced and from which date visits are shown, and a card you restore after deleting it says so too. 10. **Archive and delete.** An archived card stays readable for the customer with Ask for a visit off, and leaves the due list. A deleted card says This card is no longer kept by your engineer, and can be restored for 7 days. 11. **Limits.** Up to 25 cards, archived ones included, and 500 visits on each card. You can add up to 120 visits an hour. 12. **When the server is busy.** The site runs on a free hosting allowance with daily limits. When one is reached the page says "Saving is paused for now" and what you typed stays on your device. ### Worked example A heating engineer services a kitchen boiler on 15 October 2026 and chooses 12 months: the customer's card shows Next service due October 2027. In December the customer calls about a noisy pump; the repair is added with Keep the due as it is, so the card still says October 2027. Another boiler, serviced on 31 August 2026 with 6 months, falls due on 28 February 2027. In February 2027 that boiler is taken out and the last visit chooses no next due, so its card shows no date. On 10 November 2026 the engineer's due list shows a stove due on 30 October under Overdue and a fire due on 25 November under this month. ### What it is not - A service record kept by your engineer. It is not a gas safety certificate, landlord safety record, chimney sweeping certificate, roadworthiness test or any legal, warranty or insurance document. - Not a booking diary or an invoicing tool: a request is a message to you, not a confirmed appointment. - Not private once shared: anyone with a card's link or sticker can read that card until you make a new link. - Not a reminder service for customers: they get the calendar file, never an email or a text. - Mendcard is not affiliated with any manufacturer, trade body, registration scheme or insurer. --- # Questions about service cards and customer links, Mendcard URL: https://mendcard.com/faq/ Last reviewed: 2026-10-28 > Answers about Mendcard: what the customer sees, what the record is not, a sale, private notes, the next due, requests, stickers and your data. ## Questions about service cards What your customer sees, what the card is not, a sale, the next due and your data, answered plainly. The rules themselves are on [how it works](https://mendcard.com/how-it-works/). ### Frequently asked questions **Does my customer need an app or account?** No. Your customer opens the link you send, or scans the QR code on the sticker, in any phone or computer browser. There is nothing to install, no sign in and no email address to give. **What does my customer see?** Your business name, the card's title, the make and model, the next service due, an Add to my calendar button, the visits you chose to show (date, work done and parts), and a form to ask for a visit. They never see your customer label, your notes, notes on a visit, the serial number or a registration plate, and never any other card. **Is this a gas safety record or sweeping certificate?** No. Every card and sticker says: A service record kept by your engineer. It is not a gas safety certificate, landlord safety record, chimney sweeping certificate, roadworthiness test or any legal, warranty or insurance document. Use the forms your scheme or the law asks for alongside it. **What happens when the house or car is sold?** By default the card stays with the object: the history belongs to the boiler or the car, so a new owner with the link or the sticker reads the same card. To start fresh, make a new link on the card's page and, if you like, show only visits from the date of the sale. The old link and sticker then say: This card has moved. Ask your engineer for the new one, with the date it moved. The new card says when its link was replaced and from which date its visits are shown. **Can I hide my notes from the customer?** Yes. The customer label, the note about the customer, the serial number, a registration plate and the note on each visit are for you only; the server leaves them out of everything the customer's link can read. You can also untick Show this visit to the customer for any visit. **How is the next due date worked out?** Each visit sets the next due one of four ways: a number of months after the visit (6, 12 or 24, with the day moved to the last day of a shorter month), a date you choose, no next due, or keep the due as it is. The card's next due comes from the latest visit that did not choose keep. Nothing is set for you: the interval is your choice, not a manufacturer's or a legal one. **Does Mendcard remind my customers?** No email or text goes to customers. Their reminder is Add to my calendar on the card, which saves the next service date to their own calendar. Mendcard never asks for a customer's email address. **How do booking requests reach me?** A customer taps Ask for a visit on the card, says when suits them and leaves a phone number or email address. The request appears on your dashboard with a count of new ones. With a confirmed email address, we also email you, at most once an hour. One card takes up to 3 requests in 24 hours, and requests are deleted after 90 days. **Which stickers can I print?** Sheets of 8 stickers, 85 by 55 mm, on A4 or Letter, with the card's title, its QR code, your business name and phone number, and the record line. Every sticker sits at least 6 mm inside the edge, so the printer's margin never cuts one. Each card's QR code is also on screen with a PNG to download. **Can I add a repair without changing the due date?** Yes. Choose Keep the due as it is when you save the visit. The repair goes in the history and the card stays due when it was. **What happens if I stop paying?** No paid plan is offered at present; if one is added, this page will describe it. Everything on this site is free to use today, up to 25 cards. **How do I export or delete everything?** On your account page, Download everything gives one JSON file with your business details, every card with your notes, every visit and every visit request. Delete my account signs you out everywhere and stops every customer link at once; sign in within 7 days to cancel. After that everything is deleted for good. **Do I need a password or an email address to sign up?** No. You sign in with a passkey made by your phone or computer, behind your fingerprint, face or screen lock. You get a recovery code once, for a lost device, and can add up to 10 passkeys. An email address is optional and only used for visit request emails. **How many visits does a card keep?** Up to 500 on each card. A deleted visit can be brought back for 7 days. **Does it work offline?** The information pages open offline once you have visited the site. Cards need a connection, because they live on the server. If the connection drops while you save a visit, the page says so and keeps what you typed on the device for the next try. **Is Mendcard connected to a manufacturer or a scheme?** Mendcard is not affiliated with any manufacturer, trade body, registration scheme or insurer. Make and model are words you type, for your customer's reference. --- # About Mendcard, service cards for trades, Mendcard URL: https://mendcard.com/about/ Last reviewed: 2026-10-28 > What Mendcard is: a service card per boiler, stove, appliance, vehicle, bike or lock, with a customer link and sticker, and what it is not. ## About Mendcard A service card for each thing you look after, with a link and a sticker your customer can open with no account. ### Why it exists A heating engineer services the same boilers every autumn. A sweep comes back every year. At the end of the visit there is a paper sticker on the boiler or a line in a notebook, and a year later neither side remembers what was done or when the next one is due. The sticker fades, the notebook stays in the van, and the customer rings to ask. Mendcard keeps that record in one place both sides can reach. You add the visit on your phone before you leave; the card works out the next due; the customer opens the link, or scans the sticker on the object, and sees the history and the date. When the house or the car is sold, the sticker stays where it is. ### Who it is for Sole traders with repeat customers: heating engineers, chimney sweeps, appliance repairers, mobile mechanics, bike mechanics and locksmiths who rekey and service locks. It suits anyone whose work comes round again on the same object. ### How it is built The pages are static files. A small server keeps your business details, cards, visits and customer requests in one database on Cloudflare. You sign in with a passkey, so the site never holds a password. Each card's link is a long random secret and the database keeps only a scrambled form of it. Customers need no account and are never sent email; their reminder is a calendar file they save themselves. Your notes stay yours. The customer label, your notes, notes on a visit, serial numbers and registration plates are left out of everything a customer link can read, by the server, not just hidden on the page. There is no advertising, no tracking script and no data shared for marketing. ### What it is not It is not a gas safety certificate, a landlord safety record, a chimney sweeping certificate, a roadworthiness test or any legal, warranty or insurance document. It does not choose service intervals for you: the next due is the date you set. It is not a booking diary; a visit request is a message to you. Mendcard is not affiliated with any manufacturer, trade body, registration scheme or insurer. ### Install it On a phone it can sit on your home screen like an app. On an iPhone or iPad, open the Share menu in Safari and choose Add to Home Screen. On other browsers, use Install in the menu. ### Contact Questions and problem reports go to socialreminderinfo@gmail.com. Last updated 28 October 2026 ### Where it is kept Your business details, cards, visits and customer requests are kept in one Cloudflare D1 database that belongs to this site, until you delete them. Cloudflare chooses where the database lives; the region is not pinned, so it may be outside your country. The pages themselves are static files served by Cloudflare Pages. ### What is stored for an owner - A random account id, the account name you chose for your passkey manager (or Mendcard owner), and when the account was made. - For each passkey: its public key, its id, a signature counter, the name you gave it and when it was added and last used. Never a fingerprint, a face or any biometric data: those stay on your device. - A scrambled form (SHA-256) of your recovery code. The code itself is shown to you once and not kept. - For each signed in device: a scrambled form of its session id, and when it was made, last used and when it expires (90 days after the last use, counted a day at a time). - Your email address, only if you add one, whether it is confirmed, and a scrambled form of the one confirmation link sent to it (which works for 24 hours). It is used only for visit request emails to you, and it is the one place an email address of yours is stored. - Your business: its name, trade, phone number, website and time zone, and a scrambled form of your due feed link. - Your cards: kind, title, make, model, serial number, registration plate (vehicles only), install month, customer label, note about the customer, how the due shows, the date the customer sees visits from, the next due, and when the card was made, changed, archived, deleted, restored or given a new link. The customer card shows the last two as dates. - Your visits: date, work done, parts, the next due choice and the date it set, whether the customer sees it, your note on it, and when it was saved. - Notices for you, such as a visit request email, kept 90 days, and a record of each email sent (who, when, which kind; no text), kept 30 days. ### Your customers' details You decide what goes in a customer label and a note about the customer; they are your own business records about your customers and are never shown on a customer card. When a customer asks for a visit, the request keeps the card it came from, the phone number or email address they typed, when suits them, and when it arrived. Customers have no account, get no cookie and are never sent email. Their requests, with their contact details, are deleted 90 days after they arrive. Your due feed includes your customer labels. A calendar app that subscribes fetches it from its own servers, so those labels then sit with your calendar provider too. Make a new feed link to stop an old subscription. ### Links - For each card: a scrambled form (SHA-256) of its link secret, plus a sealed copy that only this server can open with its own secret key, so you can see the link again. - When you make a new link for a card, or a deleted card is removed for good, only the scrambled form of the old secret is kept, so an old sticker can say the card has moved or is no longer kept. It goes when your account does. ### Limits on how fast requests come To stop a card being flooded, the server counts visit requests per network address in hourly buckets, and your own saves per account. The address is stored only as a keyed scramble that cannot be turned back into the address, and each bucket is deleted after 2 hours. Network addresses are never written to logs. ### How long it is kept - Your account, business details, cards and visits: until you delete them. - A deleted visit or a deleted card: 7 days, while it can be restored, then deleted for good. - Customer visit requests and their contact details: 90 days after they arrive, then deleted for good, along with any email that listed them. - A deleted account and everything in it: 7 days, while you can sign in and cancel, then deleted for good. - Sessions: until 90 days after the last visit on that device, or until you sign out. - Passkey sign in requests: 5 minutes. Rate limit buckets: 2 hours. Email records: 30 days. ### What stays on your device A visit or a visit request you are typing is kept in your browser's local storage under keys beginning with `servicecard` until the server confirms it, so a dropped connection loses nothing. The secret part of a card link sits after the # sign, which browsers do not send to any server in the address. ### How to see and delete it On your account page, Download everything gives one JSON file with all of it. Delete my account stops every customer link at once and removes everything after the 7 days above; you can also delete single visits, cards and requests. Requests by email go to socialreminderinfo@gmail.com. ### Cookies One cookie, and only for owners who sign in: a session cookie that keeps you signed in. It cannot be read by page scripts and is never sent to another site. Customers get no cookie. ### Page counts Visits may be counted by Cloudflare's own page counter, which sets no cookie and records that a page was opened, never what you typed. There is no other analytics. ### Payments No paid plan is offered at present; if one is added, this page will describe it. ### Email Only owners can receive email: first one confirmation link, then, once confirmed, visit request emails. Customers are never emailed. Emails carry no tracking images. ### Typeface Headings are set in Barlow Semi Condensed by The Barlow Project Authors, under the SIL Open Font License 1.1, served from this site. The licence is at [/fonts/OFL.txt](https://mendcard.com/fonts/OFL.txt). ### Changes and contact If this policy changes in a way that affects what is stored, the change will appear on this page. Questions go to socialreminderinfo@gmail.com. --- # Terms of use for Mendcard service cards, Mendcard URL: https://mendcard.com/terms/ Last reviewed: 2026-10-28 > The terms that apply when you use Mendcard: what the service cards can be relied on for, your records, acceptable use and support. ## Terms of use The terms that apply when you use Mendcard: what the service cards can be relied on for, your records, acceptable use and support. Last updated 28 October 2026 ### What this is Mendcard keeps service cards that a trade business shares with its customers by secret link and QR sticker. Anyone who has a card's link or sticker can read the customer side of that card until the business makes a new link, so put nothing in the work done or parts that you would not show to whoever holds it. A card is a service record kept by the engineer. It is not a gas safety certificate, landlord safety record, chimney sweeping certificate, roadworthiness test or any legal, warranty or insurance document, and the next due is the engineer's own choice, not a manufacturer's or a legal interval. ### Names used Makes, models, trades and passkeys are named descriptively. Mendcard is not affiliated with any manufacturer, trade body, registration scheme or insurer. ### Payments No paid plan is offered at present; if one is added, this page will describe it. ### Your content You own your records. You decide what goes in customer labels and notes, and you are responsible for keeping your customers' details lawfully. You can download everything you own and delete your account at any time from the account page; the privacy page says exactly what is stored and for how long. ### Acceptable use Use cards for the objects you service. Do not record anything unlawful, do not present a card as a certificate, do not try to guess links, and do not send requests at a rate that degrades the site for other people. Accounts that break these terms may be closed. ### Warranty and liability The site is provided as it is, without warranty of any kind, and runs within free hosting limits that can make it busy for a while. To the extent the law allows, Mendcard is not liable for any loss arising from its use, including a visit that was not saved, a due date that was set wrongly, or a link that was shared further than intended. ### Contact Questions and problem reports go to socialreminderinfo@gmail.com.
